Who is responsible

Information we collect

The project form records your name, company if supplied, customer type, chosen contact method, the email or telephone number needed for that method, requested service, project location, intended timing if supplied and project brief. It also records the source page, notice version, enquiry reference, status and notification result.

A vacancy application records the published job identifier, your name, email, telephone number if supplied and your short application. It is sent to the mailbox configured for that vacancy and is not added to the website enquiry database.

To protect both forms, the website uses a short-lived, strictly necessary session cookie, request timing and a keyed hash of the network address for rate limiting. The forms do not accept file uploads. Do not include drawings, identity records, health information or commercially sensitive documents in the first message.

Why we use it

We use project information to review your request, reply through the selected channel, discuss scope and keep an accountable enquiry record. We use application information to assess and reply about the named vacancy. The lawful bases are steps requested before a possible contract and our legitimate interests in responding to business enquiries, administering work opportunities and maintaining proportionate records.

We use security information to prevent abuse, diagnose faults and protect the website. This is based on our legitimate interests in operating a secure and reliable service. Careers information sent against a vacancy is used to consider the application and communicate about that role, based on pre-contract steps and legitimate recruitment interests.

What you need to provide

The online form needs your name, customer type, preferred contact method, the contact detail for that method, service, project location and a short scope. Without those details, the website cannot accept and route the enquiry. The unselected contact channel, company and target date are optional. You can also contact us by phone or email instead.

Who receives it

Information is available only to authorised Dilan Construction personnel who need it to handle the enquiry or application. Website hosting, database, email, telephone and WhatsApp providers process information where their service is used. Professional advisers or public authorities may receive information when this is necessary to establish or defend legal rights or meet a legal obligation. We do not sell website enquiry information.

Some communication or support providers may process information outside the UK. Where a restricted transfer applies, we require an applicable UK adequacy regulation or approved contractual safeguard. Contact us for the current provider and transfer details relevant to your enquiry.

How long we keep it

Website project enquiries are assigned a 12-month expiry date and are deleted by the scheduled retention task after that date. Rate-limit records are deleted after one day. The public form session expires after 30 minutes of inactivity and no later than eight hours. Vacancy applications are retained in the receiving mailbox only as long as needed for the vacancy, recruitment administration or an applicable legal requirement.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, objection or transfer of information you supplied. You may also complain about how your information is handled. We do not use website enquiries for solely automated decisions or profiling with legal or similarly significant effects.
